How to Resize and Compress a Photo for Your Biodata

Two things go wrong with biodata photos, and they pull in opposite directions. Either the file is too large for an upload limit, or it has been squashed so hard to fit one that the face has gone soft.
The fix is to treat crop, dimensions and compression as three separate steps done in that order. Doing them in the wrong order is what produces a small, blurry photo.
Step 1 — crop to 4:5 first, before anything else
Crop before you resize. Cropping throws away pixels you were never going to use, which often solves the file-size problem on its own, and it means the resize step works on the picture you actually want rather than the whole original frame.
The target is a 4:5 portrait — that is the ratio biodata templates reserve space for. A 3:4 or 1:1 crop will either be letterboxed or have its top trimmed when it lands in the template.
Step 2 — set the dimensions, not the file size
Aim for roughly 800×1000 pixels. That is the practical floor for a photo that will be printed on A4 rather than only viewed on a phone; below it, the face starts to soften noticeably in print.
There is no benefit to going far above it either. A 4000×5000 photo carries detail the page cannot show and inflates the file for nothing. Resizing down to 800×1000 or 1200×1500 is not losing quality — it is discarding data the output was never going to use.
- 800×1000 pixels — solid minimum for printing
- 1200×1500 — comfortable headroom
- Above ~2000px wide — no visible benefit, larger file
Step 3 — compress only if you still need to
Once the photo is cropped and resized, check the file size. If it is already under the limit you are working against, stop here — compressing further only costs sharpness.
If you do need to compress, save as JPEG at around 80% quality. Between roughly 70% and 85% the difference is invisible on a face at biodata size while the file shrinks substantially. Below 60%, blocky artefacts appear around the eyes and hairline, which is the classic over-compressed biodata photo.
On Android
Google Photos handles crop and resize without an extra app. Open the photo, tap Edit, then Crop, and set the aspect ratio to 4:5 — the ratio selector is in the crop toolbar. Save a copy rather than overwriting the original, so you still have the full-resolution file if you need a different crop later.
For explicit dimension or quality control, most Android gallery apps expose a Resize option under the share or edit menu. Set the width to around 800 pixels and let the height follow the ratio.
On iPhone
Open the photo, tap Edit, then the crop icon, then the aspect-ratio button at the top. iOS does not offer 4:5 as a named preset, so choose Freeform and drag until the crop guide reads roughly four units wide to five tall — or crop approximately and let the biodata editor's 4:5 cropper do the precise framing.
iPhones save recent photos as HEIC by default, which some upload forms reject. If a photo will not upload at all, that is usually why. Sharing it through Mail or Messages to yourself converts it to JPEG.
On a computer
On Windows, Photos handles crop and the Paint resize dialog handles dimensions in pixels. On a Mac, Preview does both — Tools then Adjust Size for dimensions, and Export with the quality slider for compression.
In either case, keep the original file. Every re-save of a JPEG loses a little more detail, so it is better to go back to the original and redo the steps than to re-compress an already-compressed copy.
